Here’s how to honestly assess where you stand.
Signs You’re Ready
1. You have a repeatable process that’s eating time. AI thrives on repetition. If someone on your team does the same task more than a few times a week — sending follow-up emails, entering data, sorting leads, generating reports — that’s a candidate for automation. The clearer and more consistent the process, the faster it can be systematized.
2. You know what “done” looks like. The most common reason AI projects drift is fuzzy success criteria. If you can say “right now this takes 4 hours a week and costs us $X, and we want it to take 20 minutes” — you’re ready. Vague goals like “be more efficient” don’t give a system anything to aim for.
3. Your data lives somewhere findable. You don’t need a perfect database. But if your contacts are in a CRM, your invoices are in QuickBooks, and your leads come through a form — that’s enough to start. The worst situation isn’t messy data; it’s data scattered across personal inboxes, sticky notes, and memory.
Signs You’re Not Ready (Yet)
1. The process changes constantly. If your team does it differently every time, or if the rules shift week to week, there’s nothing stable for an AI system to follow. The fix is to document and stabilize the process first — then automate. Trying to automate a moving target almost always wastes money.
2. Nobody owns it. AI doesn’t run itself forever. Someone on your team needs to be the point person — to check outputs, flag exceptions, and evolve the system as the business changes. If there’s no one willing to own a workflow, it will quietly break and nobody will notice until the damage is done.

Readiness isn’t about being the most sophisticated operation on the block. It’s about having a clear problem, a stable process, and someone who cares enough to see it through. If you have those three things, you’re closer than you think.
