FAQ

Frequently Asked Questions

Here are answers to the questions I hear most often from small business owners exploring AI.

What does working with Applied Intelligence actually look like?

We start with a free discovery call — usually 30 minutes. I ask about your workflows, your pain points, and where your team’s time is going. From there, I put together a focused recommendation: what to automate, what tools to use, and what the build would involve. If it’s a good fit, we move into implementation. Most engagements run 2–6 weeks depending on scope.

How long before I see results?

It depends on what we build, but simple automations — like lead follow-up sequences or appointment reminders — typically go live in 1–2 weeks and show results immediately. More complex systems (custom integrations, multi-step pipelines) take longer but the ROI compounds quickly once they’re running. I don’t do vague month-long “discovery” engagements — if we can’t show value fast, I’ll tell you upfront.

What size of business do you work with?

Primarily small and mid-sized businesses — think 2 to 50 employees. You don’t need an IT department or an in-house developer. In fact, smaller businesses often benefit most from AI automation because every hour saved goes directly to the bottom line. I’ve worked with solo consultants, service firms, and growing teams across industries including real estate, legal, healthcare, and professional services.

How much does it cost?

Projects are scoped individually. A focused automation (like a lead follow-up workflow) might run $1,500–$3,000. A broader system build with multiple integrations will be more. I don’t sell retainers you don’t need — I’d rather scope something tight, deliver fast, and earn the next project. Every engagement starts with a free call, and I’ll give you a straight answer on cost before any commitment.

Do I need to be technical to work with you?

Not at all. You describe the problem in plain English — I handle the technical side. Most of what we build runs in tools you already use (Gmail, Google Sheets, your CRM, your website). You don’t need to touch code, and you don’t need to learn any new software unless it genuinely makes sense for your team.

What if I’m not sure I’m ready for AI?

That’s a totally valid place to be. Honestly, not every business needs AI automation right now — and I’ll tell you that if it’s true. The discovery call is genuinely low-pressure. If your workflows are simple and already running well, we’ll talk about what might change that in 12 months. If there’s a clear opportunity, I’ll show you exactly what it would look like. Either way, you leave with a clearer picture.

What industries do you work with?

Most of my clients are in service businesses where time is the constraint: real estate, legal, healthcare, trades, financial services, consulting, and e-commerce. AI automation tends to have the clearest ROI when there’s repetitive communication, manual data entry, or slow follow-up baked into the workflow. If you’re not sure whether your industry fits, just ask — the discovery call exists exactly for that conversation.
