AI Readiness Checklist: Is Your Business Ready for an AI System?

AI is everywhere right now — but that doesn’t mean every business is ready to use it effectively. Before you invest in an AI system, it’s worth doing an honest assessment. This checklist helps you figure out where you stand.

Section 1: Your Processes

I can describe at least 2–3 repetitive tasks my team does every week that follow a predictable pattern. My team spends meaningful time on data entry, routing, or formatting work. We have at least one manual process that frequently causes delays or dropped balls. My core workflows are mostly consistent — we do the same things the same way most of the time.

Section 2: Your Data

Customer and lead information lives in one central place (CRM, spreadsheet, or similar). My team’s email and calendar are on a business account (not personal Gmail or Yahoo). We have a record of past customer interactions — not just contact info. Documents and files are organized, not scattered across desktops and inboxes.

Section 3: Your Team

My team is open to changing how they work — not resistant to new tools. There’s at least one person who could champion or maintain an AI system internally. Leadership is supportive of experimenting with automation. We’ve successfully adopted new software in the past without major friction.

Section 4: Your Budget and Expectations

I have a budget for a one-time build or implementation project (not just a monthly subscription). I understand that AI systems require setup time — this isn’t plug-and-play. I’m measuring success by business outcomes (time saved, revenue influenced) not just “having AI.” I’m willing to provide feedback and iterate — the first version won’t be perfect.
