One of the most common objections we hear: “We can’t afford AI tools.” The reality is that most small businesses can get meaningful value from AI before spending a dollar on software.

Here’s what’s actually useful and free.

ChatGPT (free tier)

The free tier of ChatGPT handles more than most people realize: email drafting, proposal writing, FAQ creation, job descriptions, social media copy, customer response templates. The limit is that the free tier doesn’t integrate with your other systems — you’re copying and pasting. That’s still a significant time saver for content-heavy work.

Claude (free tier)

Anthropic’s Claude is particularly good at following complex instructions and writing in a specific tone. Useful for longer documents: proposals, policies, detailed email sequences. The free tier is capable enough for most small business writing tasks.

Google’s AI features (already in your Workspace)

If you’re on Google Workspace, Gemini is included at the Workspace Business level. Summarizing long email threads, drafting replies, generating document outlines — available in Gmail and Docs without any new tools.

Canva AI (free tier)

Canva’s free tier includes AI-generated image creation and text-to-design features. Useful for social media graphics, presentation slides, and basic marketing materials without a designer.

Notion AI (limited free)

If you use Notion for documentation or project tracking, the built-in AI can summarize, expand, or translate notes. Free in limited quantity.

When to Upgrade

The free tools are great for content creation. When you want AI to take actions — send emails, update your CRM, schedule appointments, trigger workflows — you need integrations, and integrations typically require paid plans or custom development.
