One of the biggest misconceptions about AI for small businesses is that getting started is a major project. You picture IT consultants, months of configuration, and a big go-live event. That’s not how it works for most businesses under 50 employees.

Here’s what a realistic onboarding actually looks like.

Week One: Define the Target

The first week is not about technology. It’s about picking one thing to fix. A good first AI project has three properties: it happens frequently (at least a few times per week), it’s currently handled manually, and the right answer is predictable enough that a system can handle it reliably.

Common starting points: lead response automation, appointment reminders, customer intake forms, review requests after service, or invoice follow-up for late payments.

Week Two: Build the First Version

Most of these workflows can be set up in a few hours using existing tools. The goal isn’t perfection. It’s getting something running so you can see how it performs in the real world.

During this phase, the key decision is what triggers the automation and what the first message says. Those two things account for 80 percent of the results.

Week Three: Watch and Adjust

The first version of any automation is a draft. After a week of real traffic, you’ll notice things. Maybe the timing is off. Maybe the message could be more specific. Maybe there’s a scenario you didn’t anticipate.

Week three is for those small adjustments. Most of them take 10 to 20 minutes to make.

Week Four: Measure and Decide What’s Next

By day 30, you should be able to answer: is this working? Are leads responding faster? Are no-shows down? Is the team spending less time on administrative tasks?

If the answer is yes, you extend the system or add a second workflow. If it’s not working the way you hoped, you adjust the trigger or the messaging and run another cycle.

That’s the whole loop. It’s iterative, not a one-time build.
