If you’ve tried using ChatGPT or Claude for business tasks and found the outputs mediocre, the tool is probably not the problem. The prompts are.

Writing a good AI prompt is a skill, and it transfers to every AI tool you use. Here are the fundamentals.

Give It a Role

Tell the AI who it’s supposed to be before you give it the task. “You are a professional copywriter who specializes in local service businesses” performs better than just “write me an email.” The role gives the model context about voice, expertise, and standards.

Be Specific About the Output

Vague requests produce vague outputs. “Write a follow-up email to a prospect” gives you something generic. “Write a 3-paragraph follow-up email to a plumbing company owner who attended our webinar but hasn’t booked a call. Tone: professional but conversational. Include a specific question at the end. No more than 150 words” gives you something usable.

Provide Context the AI Doesn’t Have

AI models don’t know your business. Give them what they need: your company name, what you do, who your customers are, what voice or tone you want, and any constraints.

Use Examples

If you have an email or document you like, paste it in. “Write something in the same style as this” is often more effective than trying to describe the style you want.

Iterate

Treat the first output as a draft. Tell it what to change: “Make it shorter,” “Less formal,” “Add a specific example.” Most people stop at the first output. The value is in the iteration.

What This Unlocks

When you can write good prompts, AI assistants become useful for drafting emails, creating templates, writing blog posts, summarizing meeting notes, and dozens of other tasks that currently eat time.
