You’ve probably heard both terms — AI agent and chatbot — sometimes used interchangeably. They’re not the same thing. Understanding the difference will help you ask better questions when evaluating AI tools for your business.
What a Chatbot Does
A chatbot responds to what you say. It waits for input, generates a reply, and stops. Some chatbots follow scripts (decision trees); others use AI to generate natural language. But in either case, a chatbot is reactive — it only does something when you ask it to.
A chatbot on your website that answers “What are your hours?” or “Do you offer free consultations?” is a good example. Useful, but limited.
What an AI Agent Does
An AI agent takes action. It doesn’t wait to be asked — it monitors conditions, makes decisions, and executes tasks. An agent might check your inbox every 5 minutes, identify emails that need a response, draft that response, and send it — without you touching anything.
The difference is autonomy. A chatbot is a tool you use; an agent is a system that runs.
Practical Examples
Chatbot: A customer visits your website and types “I need a quote.” The chatbot collects their name, email, and project description, then emails it to you. You still have to respond.
Agent: That same contact form submission triggers an agent that responds within 5 minutes, qualifies the lead, schedules a call, and adds the contact to your CRM — with no human in the loop until the scheduled call.
Which One Does Your Business Need?
Chatbots are appropriate when you want to capture information or answer FAQs. They’re low-cost, easy to deploy, and well-understood. Agents are appropriate when you want to automate a multi-step process that currently requires human judgment — follow-ups, scheduling, routing, notifications.
Most small businesses should start with a chatbot for their website and an agent for their follow-up process. The chatbot handles inbound curiosity; the agent handles inbound leads.
