Signs You’re Ready
1. You have a repeatable process. AI automates things that happen the same way more than once. If you have a process — even a rough one — AI can usually help. If every customer interaction is completely unique, start by building the process first.
2. You’re losing time to administrative work. If you or your team spend significant hours on tasks that don’t require judgment — sending the same emails, answering the same questions, entering data — AI has immediate value.
3. You have some digital record-keeping. You don’t need perfect data, but you do need some. A spreadsheet, a CRM, even a consistent folder structure on your drive gives AI something to work with.
4. Your team is open to trying new tools. Resistance from staff is the most common reason AI projects fail. If your team is curious and willing, you’re ahead of most.
5. You can name a specific problem. “We want AI” is not a use case. “We want to reduce the time it takes to respond to new leads from 4 hours to 5 minutes” is a use case. Specificity is a sign of readiness.
Signs You’re Not Ready Yet
You don’t know what you want to improve. If you can’t identify a specific problem AI would solve, you’re not ready to buy anything. You’re ready for a conversation about where AI could help.
Your basics aren’t in place. If your website is broken, your CRM is a mess, and your team is underwater, AI will multiply your chaos, not reduce it. Fix the foundation first.
