Signs You’re Ready
You have a repeatable process. AI automates things that happen the same way more than once. If you have a workflow you’ve done 50+ times, it can probably be automated. If every client engagement is completely unique, start there first.
You have a volume problem, not a strategy problem. AI excels at handling volume — lots of leads, lots of follow-ups, lots of data entry. If the bottleneck in your business is a strategy question (“what should we sell?”), AI won’t help with that.
You can describe the current process in steps. If you can write down the steps of a process — even roughly — it can likely be automated. If the process is too informal to describe, document it first.
Signs You Should Wait
- The business is still figuring out product-market fit — automation of the wrong thing at scale makes problems worse faster
- The team doesn’t trust data or reports — automation generates data, but only creates value if someone acts on it
- There’s no clear problem to solve — “we want to try AI” without a specific workflow in mind leads to wasted time and money
