How to Run a 30-Day AI Pilot Without a Consultant

A lot of small businesses assume they need to hire someone to set up AI. For the basics, that’s not true. You can run a meaningful first experiment in 30 days with tools that are already available and no technical background required.

Here’s the playbook.

Day 1 to 3: Pick One Thing

Choose one task that is currently manual, repetitive, and happens frequently. Common choices: sending appointment reminders, following up with new leads, requesting reviews after completed work, or sending a check-in message after first purchase.

Don’t pick more than one. The goal of this pilot is to learn, not to transform your business in 30 days.

Day 4 to 7: Choose a Tool

For most of the tasks above, you don’t need custom AI. You need a simple automation tool. Depending on your use case:

• Appointment reminders: Acuity, Calendly, or your existing booking system
• Lead follow-up via text: SimpleTexting, Podium, or your CRM’s built-in automation
• Review requests: Birdeye, NiceJob, or Google Business Profile
• General automation: Zapier connects most tools for basic use

Day 8 to 14: Set It Up

Most of these tools have setup wizards and take a few hours to configure. Define your trigger, write your message, test it on yourself first, then turn it on. Keep the message simple.

Day 15 to 30: Measure

Track your baseline metric (response rate, show rate, review count) for the remaining two weeks. At day 30, compare to the two weeks before you started.

What to Do With the Results

If it worked, run it permanently and pick the next thing to automate. If it didn’t, examine why: was the trigger wrong? Was the message the problem? Each of those leads to a different adjustment.
