Hours saved per month. This sounds right, but it’s incomplete. Hours saved are only valuable if those hours get redirected to something higher value. If your front desk person saves 3 hours a week on reminder calls but fills that time with social media browsing, the ROI is effectively zero.
Features and capabilities. The number of things a system can do is not the same as the value it creates. A system that does one thing well, reliably, is worth more than a complex platform nobody uses correctly.
The Right Metrics
Revenue attributable to faster response. If you track lead source, you can compare close rates for leads that received automated responses within 90 seconds versus those that waited hours. The difference is usually large. That delta is your ROI numerator.
No-show rate before and after reminders. For appointment-based businesses, this is one of the cleanest ROI calculations. Take your average appointment value, multiply by the reduction in no-shows per week, and annualize it.
Time your best people spend on low-value tasks. Not just total hours saved, but specifically the hours your highest-value employees aren’t spending on tasks that a system could do. Freeing a consultant or salesperson from administrative work has a multiplier effect that an hourly rate calculation doesn’t capture.
Setting a Baseline
Before you implement anything, measure the current state. Response time for new leads. No-show rate. Hours per week on specific administrative tasks. That baseline is what makes the ROI calculation credible later.
